For Chambers using Alcalde
How Alcalde handles your Chamber’s data
Effective October 20, 2026
This document explains what happens to the information in your Chamber’s workspace: what Alcalde keeps, who can see it, where it goes and what you can ask of us. It covers your Chamber’s workspace, the sign-in page and the emails Alcalde sends for your Chamber. Alcalde is operated by Alexander Grenier, doing business as Alcalde.
- Your Chamber’s content belongs to your Chamber.
- Other Chambers cannot see it.
- We do not sell it, use it for advertising or use it to train AI models.
- When your Chamber leaves, or asks us to, we delete it within 30 days.
What your workspace holds
- Accounts. The email address and role of each person your Chamber invites. Someone who signs in with Google also shares their name and profile picture from Google.
- Your Chamber’s content. Priorities, positions, notes, member input, comments, advocacy actions, saved items and follows, board prep drafts, documents you upload (such as a policy agenda) and emails your Chamber forwards to Alcalde.
- Ask Alcalde. The questions people ask and the answers they receive. Each person can delete their own conversations.
- Your member directory. Member businesses with their websites, email addresses, phone numbers and street addresses, and the names and titles of their contacts.
- Alerts. The alerts each person sets up or switches off, who receives them, and a record of each alert email: what it contained and whether it was sent, held or bounced.
- Briefings. Who receives your Chamber’s briefings, and a delivery record for each email.
- A record of use, described below.
Alcalde also collects public government records, such as agendas, minutes, meeting recordings, votes and legislation. These are the same for every Chamber and are not part of your Chamber’s data.
Your member directory
Your Chamber decides what member information to add and who receives its briefings. Alcalde may fill in details from your Chamber’s public member directory, such as contacts’ titles, and compares the directory with public records, for example to show when a member spoke at a public meeting.
Alcalde handles member information on your Chamber’s behalf, and only to provide and improve the service for you. If a member asks about their information, they should contact your Chamber, and we will help you respond.
Briefing emails
Every briefing has an unsubscribe link. Replies to a member briefing go to your Chamber; replies to a staff briefing come to Alcalde. For each email we keep a delivery record: whether it was delivered, bounced or marked as spam, and whether the recipient unsubscribed. Our email service may also tell us whether a briefing was opened or a link in it was clicked. We use these records to make sure briefings arrive and to learn whether they are useful.
How Alcalde records use
To learn which features are useful and to fix problems, Alcalde records which workspace pages each person opens, roughly how long each page is in use, and actions such as saving an item or importing members, with the time. The record never includes what anyone types, and only Alcalde’s team can see it. If your browser sends a Do Not Track signal, Alcalde does not record the pages you open or how long you use them; actions such as saving an item are still recorded. Like any website, our servers also receive basic technical information, such as IP address and browser type.
How Alcalde uses AI
Alcalde uses AI models to transcribe and summarize public government records, such as meeting recordings, agendas, bills and official press releases.
Your Chamber’s own content goes to an AI model only in these cases:
- when someone uses Ask Alcalde or board prep;
- when someone describes an alert in words, which sends the request with your Chamber’s lists of followed bodies, priorities, issues, members and staff so Alcalde can fill in the alert;
- when Alcalde analyzes a policy document you upload;
- when Alcalde prepares your Chamber’s briefings, which use your Chamber’s name and the places it follows to decide what matters to you;
- when Alcalde’s team tests the quality of Ask Alcalde’s answers.
To check that Ask Alcalde answers accurately, Alcalde’s team also asks it test questions using your Chamber’s workspace content. Ask Alcalde requests, including these tests, and alert descriptions go only to AI providers that agree not to keep them. Requests from the other features above are handled under each AI provider’s own terms, which may allow it to keep a copy. Alcalde does not use your Chamber’s content to train AI models.
Who else handles it
A few service providers run parts of Alcalde for us and handle data only to do that:
- hosting for the website and workspace;
- the database, sign-in and file storage, in the United States;
- background processing, such as collecting and summarizing public records;
- AI model providers, as described above;
- email delivery, for briefings, account emails and the emails Alcalde receives;
- Google, if you choose to sign in with Google;
- a service that retrieves the captions of public government videos;
- a government geocoding service, which receives your Chamber’s office address and the addresses in your member directory, to find the cities and legislative districts they are in.
We may also disclose information when the law requires it or to protect someone’s safety. If Alcalde is sold or merged, this document will continue to apply to your Chamber’s data.
Cookies and your browser
Alcalde uses only the cookies it needs to work. Two keep you signed in, and one remembers which Chamber’s workspace you are using. While you accept an invitation or sign in with Google, a short-lived cookie carries you from one step to the next. There are no advertising or analytics cookies. Your browser also keeps your recent searches, on your own device.
Meeting pages load the government’s own video player or YouTube’s privacy-enhanced player when they open, under those services’ own privacy terms. Some pages and briefings show photos, such as official portraits and video thumbnails, loaded directly from the sites that publish them, which see your IP address. Maps open on OpenStreetMap only when you follow a map link.
How long we keep it
We keep your Chamber’s content while your Chamber uses Alcalde. When your Chamber stops, or asks us to, we delete its workspace content within 30 days, unless the law requires us to keep something. If you would like a copy, ask us, and we will send it before we delete anything. Copies may also remain in our backups for longer than 30 days. Public government records, and the shared summaries Alcalde writes once for every Chamber, are not tied to any Chamber, so we keep them.
Separation and security
Each Chamber’s workspace is kept separate. Database rules, checked on every request, keep other Chambers from seeing your priorities, positions, members, notes or briefings. Your Chamber’s logo is the exception by design: it is stored where email programs can display it in your briefings.
Information travels encrypted. Alcalde is run by Alexander Grenier, who signs in to Alcalde’s administration with two-factor authentication. We can see workspace content, Ask Alcalde conversations and the record of use. We, and the AI tools we use to maintain Alcalde, look at them only to run, support and improve the service. If a security incident affects your Chamber’s data, we will tell your Chamber promptly.
What you can ask of us
Your Chamber’s administrators can correct its content and manage its member directory in the workspace. They can also ask us for a copy of the Chamber’s content or to delete its workspace. You can ask us to correct or delete information about you. We honor these requests from everyone, including California residents, and will not treat anyone differently for making one. We will confirm a request comes from you before acting on it.
Changes
If we change this document, we will update the effective date above. For significant changes, we will tell your Chamber’s administrators before they take effect. Our Terms of Service cover the rest of how Alcalde works with your Chamber.
