Alcalde gives chambers of commerce a workspace for following local, state and federal government: meeting reports, government actions, legislation and briefings. This policy explains what information Alcalde handles, how it is used and the choices you have. It covers alcalde.io, each Chamber's workspace (for example alameda.alcalde.io) and the briefing emails Alcalde sends. Alcalde is operated by Alexander Grenier, doing business as Alcalde (“Alcalde”, “we”).
Two kinds of information
Public government records
Alcalde collects public records from government websites, official video channels and official email alerts: agendas, minutes, staff reports, meeting recordings and transcripts, votes, legislation, regulatory notices and the press releases of elected officials' offices. These records can include the names and words of public officials and of members of the public who speak at public meetings. Alcalde summarizes them and links every page to the official record. Public comment on its own is never written up as a news item.
Information about you and your Chamber
- Accounts: your name, email address and role in your Chamber's workspace. If you sign in with Google, we receive your name and email address from Google. Alcalde administrators also register an authenticator app for two-factor authentication.
- Your Chamber's workspace: what your Chamber adds or uploads, such as policy priorities, positions, notes, member input, comments, saved items and follows, documents such as a policy agenda, and the member directory (member businesses and their contacts' names, titles, email addresses and phone numbers).
- Briefing emails: the recipients your Chamber selects and the delivery record of each email (sent, delivered, bounced, complained or unsubscribed).
- Use of the service: a record of actions taken in the workspace, with the account and time, and the usual technical information servers receive, such as IP address and browser type.
- Pilot requests: the name, Chamber and email address you send us.
How we use it
- To provide the service: showing government activity, matching it to your Chamber's priorities and members, and sending the briefings your Chamber sets up.
- To keep accounts and data secure, prevent abuse and fix problems.
- To support your Chamber and improve Alcalde.
We do not sell personal information, and we do not use it for advertising. Each Chamber's workspace is kept separate: other Chambers cannot see your Chamber's priorities, positions, members, notes or briefings.
AI processing
Alcalde uses AI models, reached through OpenRouter, to transcribe and summarize public records and to answer questions. Public records are sent to these models to write meeting reports, summaries of bills and notices, and Statements (summaries of elected officials' press releases). Your Chamber's own content is sent to a model only when someone in your Chamber uses a feature that needs it: Ask Alcalde, board prep drafts and the analysis of an uploaded policy document. Requests from Ask Alcalde ask the model provider to keep no copy and not to collect the request. Other requests are processed under each provider's terms. Alcalde does not train its own models on your Chamber's content.
Service providers
We share information only with the companies that run parts of the service for us:
- Vercel hosts the website and application.
- Supabase provides the database, sign-in and file storage, in the United States (US West).
- Trigger.dev runs background processing, such as collecting and summarizing records.
- OpenRouter and the AI model providers it routes to process text as described above.
- Resend sends and receives email: briefings, account emails and government alert emails.
- Google provides sign-in, if you choose to sign in with Google.
- Supadata retrieves captions of public government videos on YouTube.
- The U.S. Census Bureau geocoder receives your Chamber's office address once, to find the legislative districts the Chamber is in.
We may also disclose information when the law requires it, to protect the rights and safety of users or the public, or as part of a merger or sale of the business, in which case this policy continues to apply.
Cookies
Alcalde uses three cookies, all needed for the service: two keep you signed in and one remembers which Chamber's workspace you are using. Alcalde uses no advertising or analytics cookies. Meeting videos are embedded from YouTube in its privacy-enhanced mode (youtube-nocookie.com), and maps open on OpenStreetMap only when you follow a map link.
Briefing emails
Your Chamber decides who receives its briefings. Every briefing has an unsubscribe link, and replies go to your Chamber. To stop receiving a Chamber's briefings, use the link or ask the Chamber.
How long we keep information
We keep your Chamber's workspace content while the Chamber uses Alcalde. When a Chamber stops, or asks us to, we delete its workspace content within 30 days, except where the law requires us to keep it; copies in backups are removed as the backups expire. Public government records and Alcalde's summaries of them are not tied to any Chamber and may be kept.
Your choices and rights
You can ask us for a copy of your personal information, to correct it or to delete it. Chamber administrators can correct their Chamber's content and manage its member directory in the workspace, and we will provide a copy of the Chamber's content on request. For information a Chamber adds about its members, Alcalde acts on the Chamber's behalf, so members should contact their Chamber first; we will help the Chamber respond.
California residents have the right to know what personal information we collect and how we use it, to correct it, to delete it and to not be treated differently for exercising these rights. We do not sell or share personal information for cross-context behavioral advertising. To make a request, contact us as below; we will verify the request before acting on it.
Security
Information is encrypted in transit. Each Chamber's data is separated by database access rules that are checked on every request, Alcalde administrators use two-factor authentication, and access to production systems is limited to the people who run the service. No system is perfectly secure; if a breach affects your information, we will tell you as the law requires.
Children
Alcalde is a service for organizations and is not directed to children under 16.
Changes
If we change this policy, we will update the date above, and for significant changes we will tell Chamber administrators before the change takes effect.
